AI vs automation: what’s the difference in property management?

6:22

Automation progresses a process when the next step is known. It follows a set of rules to complete a task.

AI can understand information, respond to what is happening, and determine when a Property Manager needs to step back in.

OurProperty is property management software that combines workflow automation with AI assistants and agents. Its capabilities include — but are not limited to — rental advertising and writing emails, summarising information, analysing landlord risk, and handling phone conversations with tenants or applicant referees.

## What is automation?

Automation carries out an action when a condition is met: “When this happens, do that.” In property management, this could mean sending a viewing reminder or progressing a lease through signing.

An automatically sent email is not necessarily AI. If it uses a standard template and a predefined trigger, that is automation.

## What is AI?

AI can work with variable information, such as written descriptions, data and spoken conversations. It can generate advertising copy, summarise information or respond to what someone says during a phone call.

AI responses depend on the information and instructions provided. It can misunderstand information or produce incorrect answers, so defined roles, controls and appropriate human oversight matter.

## AI and automation at a glance

Both can reduce administration. The difference is how they contribute to the workflow.

| **Comparison** | **Automation** | **Artificial intelligence (AI)** |
| --- | --- | --- |
| **How it works** | Follows defined rules and triggers. | Interprets information to generate a relevant output. |
| **Typical work** | Routine steps, reminders, document distribution and record updates. | Conversations, content creation, summaries and analysis. |
| **OurProperty example** | Progressing a lease renewal after owner approval. | Ava discussing arrears with a tenant and recording the outcome. |
| **Human involvement** | People review terms, make decisions and handle exceptions. | People set the required level of oversight and handle escalations. |

## How OurProperty uses AI and automation

OurProperty combines automation that progresses defined steps with AI that supports interpretation, conversations, content creation, summaries and analytics. Ava and the platform’s AI capabilities support work across property management.

The lease renewal and arrears examples below illustrate two applications within that broader offering.

### How OurProperty automates lease renewals

The property manager reviews the tenancy and recommends the lease terms to the owner. Once the owner approves:

1. Lease offer sent. OurProperty sends the lease offer to the tenant.
2. Digital signing and reminders. The tenant signs within OurProperty, with automated reminders sent until they do.
3. Property manager notified. OurProperty notifies the property manager when the tenant has signed.
4. Remaining signatures managed. The PM’s signature is automatically applied, or the agreement is sent to the landlord for signing if required.
5. Completed agreement distributed. OurProperty sends fully signed copies to all parties.
6. Tenancy information updated. The new lease details are recorded in OurProperty.

Each step progresses as the required responses and signatures are received, without the property manager needing to trigger the next action. If either party requests different terms, the property manager steps in to manage negotiation.

**This is automation: carrying out defined steps based on instructions and triggers.**

### How OurProperty uses AI for arrears phone calls

Ava’s arrears agent can call a tenant and conduct a conversation about their arrears. The agent can:

- Interpret the tenant’s responses and respond to what they say.
- Record the outcome so the team can review what was discussed.
- Bring the team back in when a human decision or judgement is required.

An automated arrears reminder follows a predefined trigger and template. An AI phone conversation varies according to the tenant’s responses.

**This is AI: interpreting information and generating a relevant response within a defined role.**

## What controls govern OurProperty’s AI?

OurProperty builds and enforces its agents’ access boundaries. Agencies do not need to configure each agent’s security boundaries themselves. Four layers govern access and behaviour:

- Platform permissions restrict access through the underlying software.
- Record-level permissions limit access according to the properties and records a person is entitled to see.
- Checks within the AI process instruct the agent to consider who is enquiring and whether information is appropriate to share.
- Enforced boundaries technically restrict the information and capabilities available to the agent.

Instructions guide the AI’s response; technical restrictions limit what it can access and do.

## How independently can AI operate in OurProperty?

Standard workflows already include AI summaries, copywriting across lettings and email writing, and analytics for landlord risk management. These capabilities do not require agencies to switch on an AI mode.

For particular agents and workflows, agencies can select how independently the agent acts:

- Human-in-the-Loop: human review or approval occurs at designated points before the relevant AI action proceeds.
- Full AI Mode: the agent carries out supported tasks without approval at each step, within its assigned role and platform controls. The team handles escalations and decisions requiring human judgement.

Mode settings govern agent independence. They do not give agents unrestricted access to customer information or authority across the platform.

## What does this mean for property managers?

Property management has its own terminology, relationships and responsibilities. A lease recommendation, an arrears conversation and an owner update require different information and approaches. OurProperty’s focus helps define each agent’s role and how it contributes to the workflow.

When evaluating software, look for clear explanations of what progresses automatically, what the AI can access and do, and when your team needs to intervene. That clarity helps you assess how the technology supports your agency’s work and creates more time for judgement, relationships and decisions.
